Privacy Notice: Wayland Partnership
This privacy notice explains how the Wayland Partnership Development Trust uses any personal information we collect about you as part of our work.
When do we collect information about you, and how do we store it?
We collect information about you when you register to volunteer at or attend one of the groups or projects overseen by the Wayland Partnership (such as the Memory Café or Dragonfly Gallery). If this information is submitted electronically (i.e. through email), we will store this information securely in electronic form on a database that is password-protected. If the information is submitted in hard copy form (i.e. you have filled out a form by hand), we will keep this in a locked filing cabinet in our secure office, as well as add your details to an electronic database.
We will also collect information about you if we enter into any kind of contract with you – for example, by selling some of your artwork or renting you an office at Wayland House.
How will we use the information about you?
We use the information about you only in a way which is relevant to the project or group with which you have registered. For example, if you have registered to volunteer with the Memory Café we will need to keep information about you so that we know that you are a volunteer and how to get in touch with you about the café. We will never ask for any information which is irrelevant to the purpose of the project. If you would like to know why we are asking for a particular piece of information, please feel free to contact us to ask.
If we enter into any kind of contract with you – for example, by selling some of your artwork in the gallery or renting you an office – we will store your information for the purposes of completing our accounts and keeping accurate financial records.
The Wayland Partnership will not share your information with any third party unless you have explicitly provided us with consent to do so.
We will delete personal information as soon as there is no reasonable basis for us to continue holding it. For example, if you decide to stop volunteering with us, we will delete your information immediately unless you specifically tell us in writing that we can continue to hold it.
What happens if you don’t agree to provide or allow us to store your information?
If you don’t agree to provide your information or allow us to store it, you won’t be able to volunteer or register to be part of a group or project, or be able to enter into a contract with us. As noted above, the personal information we ask for is only requested to enable us to facilitate our work effectively.
Marketing:
We would like to send everyone who registers with us information about upcoming exhibitions, workshops and new and existing groups and projects being undertaken by the Wayland Partnership. However, we will only do this if you have explicitly given your consent to let us do this.
You have a right at any time to stop us from contacting you for marketing purposes. If you no longer wish to be contacted for marketing purposes, please contact amanda@wayland.org.uk or phone 01953 883915 and we will delete your records.
